This Privacy Policy explains how WasLead collects, uses, stores, shares and protects personal data when businesses and their authorised users use the WasLead website, applications, integrations and related services.

1. Scope
WasLead is a business-to-business software service designed to help businesses manage enquiries, customer conversations, follow-ups, sales activity and related marketing performance.
This Privacy Policy applies to:
- visitors to waslead.com;
- WasLead account holders and authorised team members;
- business customers using WasLead;
- data processed through authorised WhatsApp and Instagram integrations;
- information processed through other integrations enabled by a customer.
2. Our role when processing data
Depending on the data and context, WasLead may act in different capacities.
For account administration, billing, security, website operation and our own business administration, we generally determine why and how information is processed.
When a business customer connects its WhatsApp, Instagram or other business systems to WasLead, the customer generally determines the purposes for which its customer and conversation data is processed, while WasLead processes that information to provide the requested service.
Business customers are responsible for ensuring that they have the necessary authority, notices and lawful basis to provide data to WasLead and use WasLead in connection with their customers, employees and other individuals.
3. Information we may process
Account and business information
We may process:
- name;
- business name;
- work email address;
- telephone number;
- account identifiers;
- team membership and user roles;
- authentication and security information;
- subscription, billing and transaction records;
- support communications.
WhatsApp and Instagram information
When authorised by the relevant business account, WasLead may process information made available through Meta's APIs, including:
- business account identifiers;
- phone number identifiers;
- Instagram professional account identifiers;
- customer names and identifiers;
- messages and conversation content;
- message timestamps and delivery status;
- attachments and media;
- voice messages;
- comments or other interactions where enabled;
- conversation metadata.
Access depends on the permissions granted to WasLead and the functionality enabled by the customer.
WasLead uses the official Meta/WhatsApp and Instagram interfaces for supported integrations. Meta's platforms may process information independently under their own terms and privacy policies.
4. Sales and CRM information
WasLead may create or process business records derived from authorised conversations, including:
- lead and enquiry records;
- customer or prospect details;
- assigned team member;
- sales stage;
- follow-up dates;
- promises and commitments;
- quotation information;
- estimated or confirmed transaction value;
- labels, notes and internal comments;
- response times;
- conversion information;
- campaign and advertising attribution information.
5. Voice and AI processing
Where enabled, WasLead may process voice messages to produce transcripts and extract business-relevant information.
WasLead also uses artificial intelligence and automated systems to assist with functions such as:
- conversation classification;
- summarisation;
- identifying unanswered or stale enquiries;
- extracting dates, values and business details;
- suggesting follow-up actions;
- drafting proposed replies;
- language processing and translation;
- prioritisation;
- sales and marketing analysis.
AI-generated content may be incomplete or inaccurate. Where WasLead presents an AI-generated recommendation or draft for human approval, the user remains responsible for reviewing it before use.
We do not represent AI-generated output as legal, financial, tax, accounting or investment advice.
6. Advertising and attribution data
If a customer enables advertising attribution features, WasLead may process advertising, campaign and click identifiers together with subsequent conversation and sales data to help the customer understand which marketing activity resulted in enquiries or transactions.
7. Payment-related information
WasLead may process billing and payment-related records necessary to provide subscriptions or payment-link functionality.
Where payments are handled by a third-party payment processor, payment credentials such as complete card numbers are processed by that payment provider rather than stored directly by WasLead, except where information is expressly provided to us through the provider's authorised interfaces.
8. How we use information
We may use information to:
- create and administer accounts;
- provide the WasLead service;
- synchronise authorised integrations;
- display and organise conversations;
- detect enquiries requiring attention;
- generate follow-up suggestions;
- deliver messages requested or approved by authorised users;
- provide analytics and attribution;
- maintain security and prevent abuse;
- troubleshoot technical problems;
- provide customer support;
- administer subscriptions and payments;
- maintain audit and operational records;
- comply with applicable legal obligations;
- improve reliability and product functionality.
We do not use customer conversation data for unrelated advertising to the individuals appearing in those conversations.
9. Legal grounds
Where applicable data protection law requires a legal basis, processing may be based on:
- performance of a contract;
- steps requested before entering into a contract;
- legitimate business interests;
- compliance with legal obligations;
- consent where consent is required.
For data that WasLead processes on behalf of a business customer, the customer is responsible for determining the appropriate legal basis for its processing.
10. Service providers and sub-processors
WasLead may use carefully selected providers to operate the service, including:
- cloud infrastructure providers;
- Meta Platforms services used for WhatsApp and Instagram connectivity;
- artificial intelligence and language model providers;
- speech transcription providers;
- email and communications providers;
- analytics and security providers;
- payment processors;
- support and operational service providers.
We only provide service providers with information reasonably necessary to perform the relevant service and require appropriate confidentiality and data protection safeguards where applicable.
A current sub-processor list may be made available to business customers on request.
11. International data transfers
WasLead's primary application data infrastructure is located in the European Union.
Use of integrations and service providers may nevertheless involve processing or transfer of information in other jurisdictions.
Where applicable law requires safeguards for international transfers, WasLead uses appropriate contractual, organisational or other recognised safeguards.
12. Data retention
We retain information only for as long as reasonably necessary for the purposes described in this Policy, contractual obligations, security, dispute resolution and applicable legal requirements.
Unless a different retention period is agreed with a business customer, WasLead's standard service policy is to remove customer conversation data after 24 months.
Certain information may be retained for different periods where necessary, including:
- account and billing records;
- security records;
- audit logs;
- records required by law;
- information required to establish, exercise or defend legal claims;
- backups awaiting normal expiry.
When information is no longer required, we delete, anonymise or otherwise securely dispose of it.
13. Data security
WasLead uses technical and organisational safeguards designed to protect information against unauthorised access, alteration, loss and disclosure. Measures may include:
- encryption in transit;
- encryption at rest where appropriate;
- access controls;
- authentication controls;
- role-based permissions;
- logging and monitoring;
- secure credential management;
- isolation between customer workspaces;
- backups and recovery procedures.
No online service can guarantee absolute security.
14. Your privacy rights
Depending on the law applicable to you and the relevant processing activity, you may have rights concerning your personal data, including rights to request:
- access;
- correction;
- deletion;
- restriction of processing;
- objection to certain processing;
- portability where applicable;
- withdrawal of consent where processing is based on consent.
Some rights may be subject to legal exceptions.
If the information is controlled by one of WasLead's business customers, we may direct the request to that customer or assist the customer in responding.
15. How to request deletion
You may request deletion of information associated with you or your WasLead account by:
- contacting admin@emperor.market; or
- following the instructions at waslead.com/data-deletion.html.
We may request reasonable information to verify identity or authority before processing a request.
16. Business customer deletion and export
Authorised business customers may request:
- export of their available account data;
- deletion of their workspace;
- disconnection of WhatsApp or Instagram integrations;
- deletion of information held by WasLead, subject to legitimate retention requirements.
Disconnecting an integration does not necessarily delete information independently retained by Meta or another third-party service.
17. Children
WasLead is a business-to-business service and is not intended for children.
Business customers should not intentionally use WasLead to collect children's personal data where doing so would violate applicable law.
18. Cookies and technical data
WasLead may use cookies, local storage and similar technologies for:
- authentication;
- session management;
- security;
- user preferences;
- service operation;
- measurement and diagnostics.
Where required by applicable law, optional technologies will be used subject to appropriate consent.
19. Third-party services
WasLead may contain links to or integrations with third-party services.
Those services operate under their own terms and privacy practices. WasLead is not responsible for independent processing performed by third parties outside WasLead's control.
20. Changes to this Policy
We may update this Privacy Policy to reflect changes in the service, technology, law or our processing practices.
The updated version will be published on this page with a revised effective date. Where appropriate, we may also notify account holders of material changes.
